Abstracts

All accepted abstracts will be published as supplement to the European Journal of Neurology. Also, they will be available online on the EAN Website from June 13, 2015. 

There will be no printed book available, but the congress abstract volume will be published on a CD-Rom.

The congress app "EAN 2015" is available for download free of charge on Google Play and iTunes.

Attendance Tracking Report

If you need a report of your attendance in sessions, please approach the information desk located on level 1, in order to scan your badge and record your attendance. Only participants who have recorded their attendance receive a report, tracking their daily attendance at the congress, which will be sent from the secretariat on request.

ATM/Cash Machine

An ATM cash machine is located on the entrance level close to the Congress Secretariat. VISA and MasterCard are accepted. 

Badges

Access to all scientific events will only be possible with your personal badge which you will receive at the registration desk. All participants are requested to wear their name badge throughout the congress.

For replacement of a lost badge EUR 30 will be charged.

Business Center

There is a business centre located on the entrance level close to the Congress Secretariat.

EACCME Event code: 11316

The 1st Congress of the European Academy of Neurology is accredited by the European Accreditation Council for Continuing Medical Education (EACCME) to provide the following CME activity for medical specialists. The EACCME is an institution of the European Union of Medical Specialists (UEMS): http://www.uems.net.
 
The Congress of the European Academy of Neurology (Saturday, Sunday, Monday, Tuesday) is designated for a maximum of 24 hours of European external CME credits. Each medical specialist should claim only those hours of credit that he/she actually spent in the educational activity.
These points are accepted by several national societies, and thus may be claimed in these countries.
 
Through an agreement between the European Union of Medical Specialists and the American Medical Association, physicians may convert EACCME credits to an equivalent number of AMA PRA Category 1 Credits™. Information on the process to convert EACCME credit to AMA credit can be found at www.ama-assn.org/go/internationalcme.

Live educational activities, occurring outside of Canada, recognized by the UEMS-EACCME for ECMEC credits are deemed to be Accredited Group
Learning Activities (Section 1) as defined by the Maintenance of Certification Program of The Royal College of Physicians and Surgeons of Canada.

EACCME credits
Each medical specialist should claim only those hours of credit that he/she actually spent in the educational activity. The EACCME credit system is
based on 1 ECMEC per hour with a maximum of 3 ECMECs for half a day and 6 ECMECs for a full-day event.


EACCME credits are automatically accepted by the Austrian Chamber of Physicians.

Currency and Banks

The local currency is the EURO (€). Foreign currency can be exchanged at the airport, banks, hotels and exchange offices. All major credit cards (Visa, Mastercard, American Express) are accepted in hotels, shops and restaurants. Not in taxis.

Bank opening hours are from Monday to Friday, 10:00-18:00. Banks are usually closed on Saturday, Sunday and Public Holidays (in the city centre they might be open). All banks have similar exchange rates. Exchange offices are open seven days a week and approx. 16 hours a day.

Environment

Bag recycling – You can leave your congress bag in a designated recycling box in the registration area when leaving the congress.

Green print - The print materials of this congress have been printed on paper that is PEFC approved. The PEFC is an organisation that certifies paper manufacturers who keep to sustainable forest management criteria.

Reducing print - The book of abstracts is published on a CD Rom. The final programme is printed in a slimmer version. The complete programme can be found online soon (IPP).

Recycling - As part of our efforts we try to produce less waste. We will recycle plastic, glass, cans and paper.

Offset your Carbon Footprint - You can contribute to our ecological efforts by offsetting the Carbon Footprint of your travels to Berlin. A Carbon Offset represents a reduction in emissions somewhere else. You can learn more and offset you carbon foot print at: www.carbonfund.org.

W-LAN for all: “Public Wi-Fi Berlin”

Starting right now, Berlin visitors can surf on the city’s own W-LAN on their smartphones, tablets and notebooks for free for 30 minutes daily. There are 44 access points available in the districts of Mitte and Prenzlauer Berg for this. Registration is not necessary. Access is possible by simply confirming the terms of use.

Internet Corner

An internet corner is located in the exhibition area and is available to all congress participants during the opening hours of the exhibition. In this area also Wi-Fi is available.

Instruction for technical equipment for your presentation (AV)

Important points in brief:

All presenters of invited lectures and oral sessions will be contacted by m-events with information on how to upload their presentations before the congress.

Each meeting room will be equipped with a PC and a data projector for PowerPoint presentations only. You can review your presentation at the speakers service centre (SSC), where it must be handed in at least one hour before your lecture, either CD-ROM, memory stick or your own laptop.


Further details and hints for computer based projections:

1. Preparation

•    Store ALL your files in a unique folder (especially videos)
•    Avoid animations and make sure video(s) play automatically when slide is displayed
•    Colours: use light-coloured fonts for texts (white/yellow) on dark backgrounds or vice versa. A strong contrast is important for good legibility
•    Legibility check: step back 1,5 m from your computer, the text should be easily readable on presentation mode (if not, you are using a too small font!)
•    PowerPoint & Windows Versions from 95 to 7 may be used

2. How to transport your MS-PowerPoint file to the Speakers Service Centre (SSC)

•    On CD-ROM, memory stick or your own laptop

3. In the Speakers Service Centre (SSC)

•    Please come to the SSC the day before or at least one hour before your lecture!
•    Hostesses will be happy to welcome you in a relaxed and friendly atmosphere to help you submit/finalise your presentation
•    Highly experienced and skilled technicians will capture your presentation and store it on a server
•    You then rehearse your presentation with the assistance of a technician
•    Technicians will help you with PowerPoint and will ensure that your changes are updated on the specific server

4. In the lecture room

•    Via network your presentation is made available in your lecture room, on a presentation computer operated by a technician
•    There will be no possibility to connect your laptop at the lectern in the lecture rooms
•    No overhead or slide projectors in the lecture rooms; no double projection
•    No change in presentation in the lecture room by the technician or the speaker

Interactive Programme Planner (IPP)

There will be no printed programme available at the congress.

Please use the IPP in order to create your personal programme and abstract book. 

All invited lectures, oral sessions and poster presentations will be available in the IPP. By logging in you will be able to save and edit your personal programme. It is available for desktop, laptop and as smartphone app. 

Contents are sorted by topic and prerequisites and can be searched through standard web search functions. 

Once you have created your personal programme, you can export it to different calendar formats, or download it as a book of abstracts.

The IPP will be available before and during the congress.

Language

English is the official language of the congress.

Liability and Insurance

The Congress organisers and PCO cannot accept liability for personal accidents or loss of or damage to private property of participants, either during or indirectly arising from the 1st EAN Congress in Berlin, Germany 2015.

It is recommended that all participants take out a personal travel insurance for their trip.

Light lunch and coffee is included in the registration fee and will be served in the exhibition area.
Lunch will be served from 12.00 - 13.00h, coffee according to the announcement in the programme.

Visa regulations depend on your nationality and country of origin. Please contact your local consulate or embassy for official instructions on the specific visa regulations and application procedures that apply to you.

Unfortunately we are unable to send invitation letters directly to the foreign consulates or embassies. Invitation letters can be requested during the online registration and will be emailed as pdf after payment has been received. Paperless Congress

As in previous years, the Scientific Programme and the Abstract book will be available online only. A printed mini programme including all main sessions from the scientific programme as well as an overview and general information, will be available on demand.

The Abstract book will also be available on CD-Rom for all participants.

For smart phones there will be a congress app including the whole programme available.

With the Interactive Programme Planner every participant will be able to create his/her personal programme. For detailed information see Interactive Programme Planner.

Poster Sessions

As a new congress feature, all posters will be presented as e-posters only at the 1st EAN Congress in Berlin.

All poster presenters have received an email including information on their presentation type. If you have not received such email, please contact abstracts@eaneurology.org.

Within the Poster area (in front of the exhibition hall) there are poster screens (12 big screens, 18 middle screens & 25 computer stations) available throughout the whole congress, where presenters and audience will be able to interact with eachother. You will be able to contact poster presenters and meet with them at any time at one of the poster screens to discuss his/her work.

In addition there will be two types of poster sessions, taking place Saturday - Tuesday from 12.30 - 13.15 and 13.30 - 14.15.

Poster with discussion

In a poster session with discussion (45 minutes) up to 9 presentations at the dedicated poster screens are scheduled. A chairperson will be present and discuss each presentation with the presenter and the audience. Each presenter will have 3 minutes presentation time and approximately 2 minutes of discussion. Please make sure that you are present at your poster screen during your session. 

Flash poster

Similar to previous paper poster sessions, where presenters stood next to their posters, now all presenters (up to 20 per session) will stand at the screen; the posters will “slide by”, i.e. each poster will be available for approximately 2 minutes and the presenters will have the possibility to highlight their most important data.

MEDIA ACCREDITATION

In order to receive a press badge, media representatives are invited to register online or onsite upon presentation of credentials (valid press card or letter of assignment).
Members of the press may attend the congress lectures on a complimentary basis. A press room will be available at Level 1.

THIRD PARTY MEDIA POLICY

  • Companies may place their press releases in the press room.

    • Such press releases should make reference to the Congress of the European Academy of Neurology as well as to the session/abstract it relates to.

Quality Control / Evaluation

In order to guarantee the quality of the upcoming congresses, and to get CME certification, we have to carry out congress evaluations. Each teaching course participant should fill in a TC evaluation form and hand in after the TC.
The general evaluation of the congress will be done online. On Tuesday, 23 June all participants will receive a username and password. We kindly ask you to participate.

Pre–registered delegates have the opportunity to print their badge and pick-up the congress bag in order to avoid waiting times on Saturday. Please note that this service will be available to pre-registered delegates only, the secretariat will be closed on Friday. While picking up your material, you may enjoy a cup of coffee.

Restaurants

Traditionally, Germans eat their main meal during the day, between 12pm and 2pm and dinner around 8pm.
Restaurants are often closed on Monday, because they are open on Sunday.


VAT Value added tax & Tipping


Service and VAT are included in the menu price in restaurants, bars, etc. all over Germany.  Still, it is typical to "round up" the amount to some more-or-less round figure. A rule of thumb is to add 5-10%, generally ending with a full Euro amount.

Smoking Policy

Smoking is prohibited at all times in the meeting halls, exhibit halls and restrooms. Your compliance is appreciated.

Speakers Service Centre (SSC)

All speakers are requested to hand in their presentations (PowerPoint only) via a USB compatible memory stick at the Speakers’ Service Centre (SSC) at least three hours before the beginning of the session. The SSC is located close to all lecture halls on Level 1.

 

Speakers will have the opportunity to check their presentations on PCs available in the SSC.
